Position Title: Community Engagement Coordinator
Full-Time 12-month contract (May 3, 2021 to April 29, 2022)
Hours: 35 Hours per week
Rate of Pay $21.00 per hour
Regular business 8:30 to 4:30 pm. Will be required to work at various locations which also include virtual. Hours of work will include afternoons, evenings and some weekends for events and meetings to achieve our engagement outcomes.
Reports to: Executive Director at Silverheights Neighbourhood Association
The Community Engagement Coordinator will work closely with staff, volunteers, and our community to ensure that our agency is effectively responding to the needs of our neighbours. This role will also support community engagement in the Greenway-Chaplin and Preston Heights neighbourhoods in Cambridge, Ontario.
Duties Include:
Community Engagement Services
- Events-creation, promotion, logistics and evaluation of in-person and virtual community focused events (financial support from our Community granting program)
- Communications-creations, distribution, and evaluation of various marketing tools to increase awareness and engagement.
- Compile content for the monthly e-newsletter and distribute electronically as well as arrange for neighbourhood delivery by volunteers when needed.
- Respond to community members inquiries regarding our programs and services.
- Partnerships-building on current partnerships and reaching out to new opportunities.
- Support the Community Garden, working with volunteers, stakeholders, and partner agencies.
- Other duties as assigned.
Volunteer Services
- Recruit community volunteers for a variety of agency roles and events
- To interview, select, orientate, Supervise, and train potential volunteers in accordance with volunteer screening policy. Also create and show appreciation to volunteers.
- Refer volunteers to staff for placement in appropriate areas/ programs, identified by staff.
- Track supervision and evaluation of volunteers
- Maintain up-to-date volunteer information records using Charity Republic.
- To evaluate the volunteer program with volunteer input and to implement changes as required.
Administrative Support
- Prepare and manage budgets for Community Engagement Program
- Provide administrative support to the Executive Director.
- Update and maintain monthly statistics for the Community Engagement Program
- Assist in program promotion and registrations for programs and services.
- Other duties as assigned.
Skills, Experience and Qualifications
- 3 to 5 years’ experience in community development, recreation and/or volunteer management
- Exceptional and proven organizational skills, time management skills, and customer service skills
- Able to meet the demands of several different tasks.
- Experience working well in a dynamic and changing environment.
- Possess excellent communication skills (oral and written)
- Proficient in all MS Office Suite program, G Suite Google Cloud platform, digital marketing, and WordPress experience
- Valid G2 License and daily access to a vehicle
- This position primarily involves interaction, public relations, partnership building, desk work and physical movement while participating in events, etc.
- Participation at large scale indoor or outdoor community events may require prolonged standing as well as the ability to lift equipment up to 50 pounds.

Hours: 20 Hours per week
Rate of Pay $15.50 per hour
Approximately 4-5 half days per week. Will be required to work both virtually and in person-afternoons, evenings and some weekends for events and meetings.
Reports to: Executive Director
The Community Engagement Worker will work closely with staff, volunteers and our community to ensure that our agency is effectively responding to the needs of our neighbours.
Duties Include:
Volunteer Services
- Recruit community volunteers for a variety of agency roles and events
- To interview, select, orientate and train potential volunteers in accordance with volunteer screening policy
- Refer volunteers to staff for placement in appropriate areas/ programs, identified by staff based on the skills, experience and interests of volunteers
- Track supervision and evaluation of volunteers
- Maintain up-to-date volunteer information records
- To evaluate the volunteer program with volunteer input and to implement changes as required
- Create a database of contacts for volunteer recruitment and promotion
- Planning and implementing an annual volunteer appreciation activity alongside ongoing recognition for volunteers
- Schedule volunteers for programs, events and charitable bingo assignments
- Implement volunteer recognition activities and events
- Schedule volunteer training as required
- Other duties as assigned
- To pursue the development of community partnerships related to recruitment and further development of volunteers
Community Engagement Services
- Compile content for the monthly newsletter and distribute electronically as well as arrange for neighbourhood delivery by volunteers when needed
- Respond to community members inquiries regarding our programs and services
- Assist in program promotion and registrations for programs and services
- Work with staff and volunteers to plan and execute community events
- Communicate with partner agencies and funders as required
- Maintain agency social media presence and website
- Support the Community Garden, working with volunteers, stakeholders and partner agencies
- Other duties as assigned
Administrative Support
- Provide administrative support to the Executive Director.
- To collect and produce monthly volunteer statistics as outlined by the Executive Director and to maintain a data base for this purpose.
- To collect resources on volunteer development and distribute to staff.
- To integrate volunteer resource materials such as: volunteer handbook, training manuals, volunteer position descriptions etc.
- Continue to develop risk management procedures for the volunteer program.
- To monitor purchases within the budget.
- Complete monthly reports
- Guide participants in external and internal training sessions.
- Other duties as assigned
Required Experience and Qualifications:
- 1-2 years’ experience working with volunteers and the community
- Proven working ability in Microsoft Office Software – with an emphasis on Word and Excel
- Knowledge and comfortability managing social media presence and website updates
- Strong organizational and time management skills
- Excellent customer service skills
- Relevant education as a graduate in any of the following programs: Volunteer Coordination, Events Management, Recreation, Community Development
- Experience in a supervisory or self-sufficiency role
- Experience in the area of Community Development
- Knowledge of principles and practices of volunteer management
- Experience with policy and procedural development and recommendations
- Ability to manage multiple and diverse projects.
- Ability to effectively use community resources
- Ability to assess needs, prepare, present and evaluate training
- Standard First Aid and CPR-C training
- Clean Police record check
